Subject: Inappropriate Hire
Date: December 28

We have to correct a problem with a new hire named John Adams. John recently began working in the accounting department, but he is not fitting in. It turns out that although John is highly educated, he lacks the specific qualifications for the position and is unable to perform the basic tasks of the job. It also turns out that John is related to one of our senior staff members, William Granger. After an initial investigation it does not appear that William was involved in the hiring decision, but we would like to understand what happened. The decision to hire John was made by one of your staff members, Susan Ellis.

We are in desperate need to have the position properly filled, and I am aware that there were a large number of applicants for the position. Would you please prepare a report of the steps you plan on taking to address this problem and ensure that it doesn’t happen again.

I just wanted to inform you that I decided to hire John Adams to fill the new accounting position. He has a degree in marketing and was the top of his class at the London School of Business.

Sean,

I did receive an email from Susan Ellis about her decision to hire John, but must admit that I didn’t review the decision. If he is inappropriate for the position, I will do what is necessary to correct the problem.

The first thing I will do is review a short list of the top applicants that were applying for the position, and ensure that one is hired quickly. I will ensure that they have the necessary education and work experience to be effective for the role we are hiring them.

I will be meeting Susan this afternoon to review the situation. In the mean time any one she wants to hire will have to be approved by myself. I’ll find out why she chose to hire John and if there was anything inappropriate in the decision, she will be disciplined accordingly. If it was an honest mistake, I will review the basic educational and work experience that we require for the various positions.

Finally in regard to John, I will speak to our marketing department and see if there is a position more suitable to his education and experience. He may be a good fit with the organization in a different role. If there is not a proper position, I will arrange to have him dismissed.

If there is anything else that you require, do not hesitate to contact me.

Yours sincerely,

Accounting Manager
